Document and file the whole procurement of activities; (follow up and keep update the Other
administrative activities

Manage Transportation in an efficient manner to respond to the agency’s Transportation
needs.

Inventory agency’s fixed assets on a periodic basis and update the fixed asset database as new
purchases are made.

Assist the Administration Manager in taking proper security measures aimed at keeping the
agency and its employees safe and secure.

Issue, extend and update visas, work permits and other relevant legal documents for the
expatriate staff of Agency.

Arrange accommodation for the expatriate staff.

 Support/Ensure employee personnel files include all required staff documents such as copy
of ID cards, educational documents, leave and other forms, correspondence between the
employee and the agency and so on; Also ensure these files are updated on regular basis;

Procurement activities:
 Responsible and manage procurement activities of the agency and ensure all procurement/
purchases are carried out in line with agency’s effective procurement policies and
procedures;
 Support and Identify quarterly and annual procurement needs of the agency both at central
and provincial levels and develop appropriate procurement plan;
 Support and Negotiate sales agreements, prepare contracts, and verify quality of delivered
goods against standards as part of the procurement committee as defined in the agency’s
