Duties and Responsibilities:

 

I.      Executive Secretary / Receptionist

Ø Provide effective and efficient assistance on the day-to-day schedules and activities of the President.

Ø Represent and/or attend meetings for the President.

Ø Attends to visitors, receive telephone calls and gives due courses to request and messages or refer calls to official concerned.

Ø Facilitate the different  needs of the clients, (Patients, Visitors, Guest , Donors, Dignitaries, etc )

Ø Safe keeps important documents and maintain files / documents of the office & Personal documents of the President.

Ø Make the Minutes of the Meetings.(Board Meeting, Staff Meeting etc. )

Ø Assist Patients,  make referral letters to PCSO

Ø Help prepare medical supplies and Equipments for Medical Mission

Ø Assist Minor Surgeries and Medical Missions

Ø Performs other related duties as may be assigned by the superior

Ø Organize Big Events (Day Care Graduation, CHW National Summit, CHW Trainings, Medical, Surgical Mission etc.)

Ø Knowledgeable in SEC business incorporation, Business permits, BIR registrations, DTI application, Brgy. Permits, and all other kinds of permits and licenses.

 

II.    Purchasing Officer

Ø Procure necessary Supplies, Medicines and Equipments of Hospital for daily services

 

III.  Philhealth Officer

Ø Process Philhealth Claims of Ophtha Patients for benefit claims

 

IV.  Ensure that administrative services are provided to the President, Officers and the staff of the Foundation

Ø Assist by encoding and providing the necessary photos and documents, materials and supplies to the various office/ units.

Ø Assist in the timely  preparation for submission of the monthly and year – end Program Reports  and as required by donor agencies

Ø Assist in the safekeeping of photo albums of all programs and activities of the foundation and provide the same as needed.

Ø Ensure the maintenance of  soft copies of   program / project documents (MOA, MOU, Financial Statement, Reports) and properly placed on hard copy files and placed and   listed in the Program Group Computer Files for immediate reference or retrieval.

Ø Encode and ensure that communications and reports are released with copy for program group files and a copy given to the Executive Secretary for Head Office file.

Ø Perform other duties and responsibilities on time as required by the Programs and Projects  Group

Ø Attend meetings and perform other tasks as called for by the Programs/Projects Group.

Ø Assist in entertaining Guests/Visitors

Ø Directly reports to the HR/Admin Officer

Ø Assists in Logistical activities as needed in operation

 

V.     Provide assistance to the President

Ø Prepare and assist in the presentation of FOLPMI’s Presentation / video of  activities / programs to the donors / visitors of the Foundation.

Ø Prepare CD’s for distribution (FOLPMI Presentation & Barefoot Doctors and others)

Ø Perform other tasks and functions as assigned by the President.

 

VI.  IT Management

Ø Design brochures, tarpaulins and website for the Foundation

Ø Design cards (birthday, thank you, invitations,certificates, plaques, etc.. etc.)

Ø Update computer systems of the office such as upgrading, install applications, renew anti-virus programs

Ø Responsible for web comptroller

Ø Photo documentation officer in every programs / activities of the Foundation

Ø Ensure safekeeping of FOLPMI’s computer and other gadgets such as laptop, cameras, video, etc.

 

VII.               Administrative:

Ø Timekeeper – monitor / checking of employees daily time record

Ø Handle messengerial works as assigned

Ø Ensure that office facilities and/or equipments are properly maintained and/or repaired as required.

Ø Ensure that equipments are properly accounted for in accordance to systems (documents are properly received and signed by the staff as to which equipments are assigned to him/her).

Ø Ensure that forms are made and readily available at the secretariat office.
