Visa Office Manager (25 November 2013-present)
Visa Section, British Embassy Manila

A. UKVI Regional Support
· Provide budget and staffing forecast to the Regional Business Manager based in Beijing every financial year
· Provide support to the Regional Director and Regional Manager who are based in Beijing during Manila visits
· Provide logistic support for regional meetings and senior managers visit to Manila
· Provide support to the Operations Manager and Entry Clearance Managers based in Manila

B. StaffCount and Staffing Issues
· Record Centre Non-Working Days
· Record Staff Assignments and coordinate profile activation/deletion/amendment
· Coordinate with spokes on their Personal Non-Working days of the month
· Reconcile and validate Personal Non-Working days entered in STC against total number of Working Days in the leave calendar
· Review “My Staff List”
· Maintain Vacancy Management Tool
· Provide feedback on staff and other operational issues
· Record absences of sick and annual leave in the leave calendar
· Record and monitor LE staff absences of sick absence and annual leave and timekeeping; provide feedback to Line Managers
· Collate medical certificates of LE staff then forward it to CST to file on individual PFs
· Monitor if LE staff filed their sick and annual leaves on Prism and provide feedback to staff and line manager
· Maintain Asia Pacific Stafflist
· Provide forecast and actuals for Asia Pacific headcount

C. WorldPay Transactions and Visa Fee Certificates
· Review visa fee certificates
· Prepare Month end batch consolidations
· Monitors visa applications which are being refunded by UK Refunds Team and request repayments from visa applicants if applicable.

D. Finance Lead
· Ensure that Prism Requisitions and Receipts, Expense Claims are properly documented and that they are in accordance to best practice and audit procedures.
· Set up Purchase Orders and process payments for flights, accommodation, NSO , agency staff and miscellaneous
· Assist officers on expense claims
· Maintain Budget Tracker
· Process cash advance for payment of services received £100
· Resolve issues on unpaid transactions
· Reconcile monthly spend report received from Beijing and provide feedback of unknown transactions, incorrect codes, etc
· Monitor Fruitless Payments and Financial Losses and forward the details to Beijing
· Process compensation claims
· Provide guidance in claiming expenses on I-Expenses and Budget-Spend Process
· Responsible in monitoring local staff pays including overtime, deputising, LDM additional pay and on temporary promotion.

E. Office Administration/Travel
· Maintains visa section workstation and phone plan in the visa section and responsible of reporting/monitoring issues to the IT department.
· Assist staffing ECM and Operations Manager on hiring and coordinating arrangements for staff arrivals
· Coordinates in hiring temporary staff from recruitment agency
· Provide administrative support for flights, accommodation, transport and security requirement arrangements for official visits and visitors
· Book and arrange conference rooms for trainings/meetings and prepare powerpoint slides and other materials needed
· Monitors stationery requirements & assistance requests sent to ISS Facility services
· Update UKVI Fire Evacuation Roll call list
· Maintain/Update UKVI Telephone Tree, Organogram and Line Management structure chart
· Compilation of Gifts Register
· Ad hoc support required by Senior Managers

F. Compliance
· Circulate UKVI Manila staffs Code of Conduct every six months
· Collate other compliance documents as required by the section and post

G. Provision of statistics
· Reconcile and confirm VAC volumes
· Prepare and complete Comparative Reports
· Provide ad hoc statistics for colleagues
· Provide monthly application count for managers

H. Line Management
· Provide support and guidance to Office assistant
· Monitor Line manager’s monthly one to one with jobholder
· Coordinate Prism team of any change of staffs line manager and role

I. CCTV Lead
· Assign staff to do checks once a week
· Make sure that outsource partner are following the guidelines in taking biometric details of visa applicants and raise any observations

J. Visa Application Centre Reports
· Collate SLA/MI reports prepared by VFS and distribute to ECMs for sign off

Workflow, Enrichment and Correspondence Team (2004 – 2012)

§ Assists Entry Clearance Officer during interview – interpreter to non-English applicants
§ Prepares the daily/ monthly visa fees certificate
§ Liaise with other posts and outsource partner when needed
§ Releases refusal notice to visa applicants and explains the appeal process
§ Ensures that the applicant’s visa photo and details are correct before printing the visa
