Clerk – Contracts (Supply Chain Management), Trinmar Operations

Inclusive but not restricted to:

  • Document control; logging and distribution of all incoming and outgoing correspondence.
  • Liaising with external parties (Energy Chamber) on STOW-TT status of Contractors.
  • Review of temporary registration applications for vendors to be invited to participate in the selective tendering process.
  • Building and issuance of Invitation to Bid tender packages via SAP ARIBA.
  • Review of evaluations for tenders and merit requests for award, cancellation, invocation of extensions, post negotiations and/or variations. (Financial Range TT$10k to over TT$15mm).
  • Design and/or modification of templates for presentation of evaluations.
  • Arranging and attendance at Committee meetings for tenders evaluated and/or merit requests. (Financial Range >TT$10k <TT$3mm)
  • Circulation of Round Robin requests to the respective Tender Committees and preparation of supporting minutes.
  • Preparing reports.
  • Real time report for tendering process from receipt of request for issuance to Contractor signing approved Contract (via SAP).
  • Ministry of Finance Reports (Tenders awarded in the Financial Range >TT$5mm).
  • Monthly Reports (Tenders awarded in the Financial Range >TT$10k <TT$3.5mm).
  • Preparation of correspondence related to:

Contractors:

  • Evaluation clarifications.
  • Re validation of bid validity.
  • Letters of Acceptance (LOA) further to award of tenders.

Legal team:

  • Finalization of Conditions of Contracts (COC’s).
  • Related matters for execution of service tenders or termination and/or cancellation of same.

Routine clerical functions:

  • Organizing meetings with Contractors.
  • Filing and scanning of documents for update of tender files, submission files and reports.
  • Support to Executing Department in gathering additional data for Tenders Committee submissions.
  • Support to the Contracts Coordinator in the retrieval and compilation of supplementary data requests.

Clerk/Timekeeper – Terminal Operations Department

Inclusive but not restricted to:

  • Preparation and processing of field payroll for permanent, temporary and casual employees.
  • Liaising with HR Department at Pointe-A-Pierre and Area Supervisors with respect to wage issue consultations and personnel rotation/man-days worked.
  • Collaboration with HR Department, Trinmar Operations to gain approvals for weekly personnel hours worked and the processing of job letter requests.
  • Assisting in the preparation of documented authorization of casual and temporary employees.
  • Maintenance of field files/employee data for personnel.
  • Providing secretarial support for the Supervisors of the Marine and Installation and Shipping Sections of the group.
  • Assisting the Clerical Assistant Supervisor with upkeep of summary and profiles of employees engaged in the department.
  • Assisting Department Heads/Supervisors with Budget items/projects.

Clerk – Compressor Department, Production Operations, Trinmar

Inclusive but not restricted to:

  • Generating and issuance of daily reports.
  • Preparation of minutes further to daily tool box meetings.

Clerical Assistant – Inspection & Corrosion Department, Production Operations, Trinmar

  • Processing service tickets for payment via service entry

  • Preparation of daily statements of oil stocks and deliveries
  • Drafting and submissions of budget allocations for the department
  • Arranging BAR’s and AFE’s for budgeted items/projects

Documentation Clerk – Marine/Installation & Shipping, Terminal Operations Department

  • Preparation of Boarding and other relevant documents with reference to specified procedures for vessels calling at Point Fortin.
  • Liaising with Inspectors and Shipping Agents re vessels calling at the port of Point Fortin.
  • Preparation of charges for services utilized by vessels to Accounts Department.

  • Providing assistance to supporting departments re scheduling and ordering of materials.
