Ø Prepares correspondence, doctor’s rotation schedule, memos and other related paper works.
Ø Opens, screens, and routes incoming mails. Prepares signature lists and circulate incoming and outgoing mail.
Ø Files and distribute reports and other correspondences.
Ø Proofreads documents generated within the department before distribution.
Ø Develops and maintains departmental filing system. Maintained an accurate suspense file system and liaises individuals to determine actions.
Ø Manages the appointment book of the assigned manager to include booking appointments, arranging meetings, venues and arranging catering requests.
Ø Prepares papers and documents needed for a meeting. Types and distributes agendas and supporting documentation required for a meeting.
Ø Prepares medical duty Rota as required.
Ø Maintain confidentiality of all sensitive information at all times.
Ø Handle and smoothly organize the workload of the department in an efficient manner.
Ø Performs a variety of clerical, office tasks administrative assistant duties such as handling incoming and outgoing mail, typing correspondence, filing and operating office machines.
Ø Undertake other duties from time to time.
